Manage executives’ calendars, schedule meetings, and handle correspondence with a focus on accuracy and professionalism.
Draft and edit correspondence, reports, and presentations on behalf of executives to meet quality standards.
Create automations using Monday.com and Zapier.
Coordinate and organize meetings, conferences, and events, including logistics, agendas, and materials preparation.
Act as a point of contact between executives and internal/external stakeholders, managing various forms of communication.
Track and reconcile executive expenses, prepare expense reports, and adhere to budgetary guidelines.
Maintain organized and up-to-date records, files, and databases with a commitment to confidentiality.
Assist in special projects and initiatives, collaborating with team members to achieve project goals and deadlines.
Handle sensitive information with discretion and maintain a high level of professionalism in all interactions.
Execute ad hoc tasks as required by the client, demonstrating flexibility and responsiveness.

Qualifications
Requirements & Qualifications:
Proven experience as a Virtual Assistant or in a similar administrative support role.
Excellent organizational and multitasking skills to manage diverse responsibilities efficiently.
Strong communication skills, both written and verbal, for effective stakeholder interaction.
Proficiency in automations using Monday.com and Zapier.
Proficiency in relevant software and tools for calendar management, expense tracking, and document creation.
Detail-oriented approach to ensure accuracy in correspondence, reports, and data management.
Ability to maintain confidentiality while handling sensitive information.
Tech-savvy with expertise in streamlining processes and software integration.
Demonstrated problem-solving skills and resourcefulness in handling challenges.
Strong interpersonal skills for effective collaboration within a virtual team environment.
Undergo 3 days of paid training. If there’s an urgency for the role, then the new hire is required to render an hour of paid OT before or after the shift for 3 weeks.
Amenable to work Monday through Friday either 8 AM – 12NN OR 1 PM – 5 PM Pacific Time Zone(PST).
Preferred Qualifications:
Bachelor’s degree in business administration, communications, or a related field.
Additional certifications in virtual assistance or relevant areas.
Familiarity with project management tools for efficient collaboration on special projects.
Experience working in a virtual or remote work environment.
Proficient in using the following tools: Monday.com, MailChimp, Zapier & Google Suite
A personal TikTok account with a specific niche is a PLUS.
Familiarity with the TikTok Live-Streaming culture is a PLUS.
